How to use the Equipment Manager

Introduction

The equipment manager will make it easy to manage and maintain your equipment. You will be able to turn on notifications for maintenance, calibrations or recertifications. You may also store and collect all required documentation in one place.  

1.0 Equipment index

The Equipment manager works as an index from which you can see all equipment in your organization. You can edit your index either by changing columns or by filtering. There is also a search function available. 

In addition, you can create a shareable link to your index, In case you want to link to the  Equipment manager, e.g. Your company menu. You can also export your index to excel or add new equipment to the index from the top right-hand side.

Furthermore, you can favorite equipment, create a copy of the equipment document or delete it if you have administration rights.

Clicking the downward pointing arrow in the column on the far rigth-hand side of the document enables you to view the information in the document without opening it.

 

1.1 The Admin tab

On the top left-hand side of the index is the admin tab. You can create, edit and delete dropdown menus from this tab when registering new equipment. You can also manage notifications by groups.

1.2 Send grouped e-mail

The equipment management module can be set up to either send one e-mail for each piece of equipment or click the button «No». Or it can send e-mails where the equipment is grouped by selected field, click «Yes» and select the field to group the e-mails by.

2.0 How to register new equipment.

To register new equipment, start by clicking the new equipment button on the top right-hand side of the index. This will prompt you to enter a name for the new equipment you are registering. Click save, and you will be taken to a new window where you can fill in information about the equipment. 

From this point on, all changes made when registering the new equipment will be automatically saved.

In addition to information about the equipment, you can also enter maintenance intervals and attach maintenance manuals. You can also set notifications to be notified when maintenance is to be carried out. The user who is set as responsible will receive this notification by email and on their dashboard.

Performed maintenance can be logged using Maintenance records.
